At KHN, we work hard every day to make sure you can run your business carefree. We offer various products and services that help you do this, provide information, answer your questions and help you whenever you need it most. To provide these services properly, we need your personal information. This is also known as ‘processing personal information’. Of course, we handle this very carefully. After all, it’s your privacy that is at stake. We understand that you want to know what we do and do not do with your personal information. Here you can find the privacy statement of Koninklijke Horeca Nederland (The Royal Association of Entrepreneurs in the Hotel and Catering Industry and related business 'Horeca Nederland'), of its association parts, subsidiaries and affiliates.

Koninklijke Horeca Nederland

This is the privacy statement of Koninklijke Horeca Nederland (hereinafter "KHN"). KHN is the trade association for the hotel and catering industry in the Netherlands and is passionately committed to all its members on a daily basis. We do this with Advocacy, Member Service, Inspiration and Advice. There are situations in which your personal information is collected by KHN. Therefore, it is important that you know what is being done with it and how you can indicate your wishes regarding your personal information. That is what this statement is about.

The privacy statement will sometimes be amended due to, for example, changes in the law. We therefore recommend consulting the statement periodically.

Purpose of data

Personal data is collected by KHN for a number of purposes. These are explained below.

Execution of membership contract

As a member of KHN, your personal data (name, address, city, business data, e-mail addresses, gender and date of birth) are registered in our membership records. We register all correspondence regarding the start of membership, invoicing of the membership fees and any additional services/orders, telephone or personal contact moments with our staff and invitations to (member) meetings, events, and other forms of news distribution.

In certain cases, KHN will require additional personal data from you, such as: your BSN number (certified training courses), dietary requirements (meetings incl. lunch), date of birth (certified training courses), place of birth (certified training courses).

Execution of assignments or contracts

If you use Member Benefits through KHN or use additional products and services of KHN, which do not fall within the membership, we process the personal data required for this. We register all correspondence regarding the issuing of an order, purchase of a member benefit, product or service from KHN, the invoicing of outstanding fees, telephone or personal contact moments with our employees and invitations to (member) meetings, events, and other forms of news distribution and marketing.

Sending newsletters

KHN sends newsletters by e-mail. These newsletters are intended for knowledge sharing on the one hand and for commercial purposes on the other. Your (first) name, company name and e-mail address are collected through the designated subscription form on the KHN website. In addition, you may be asked verbally or textually to sign up. You then can give your own consent to the use of your personal data. This may also be in response to the execution of an order. You can unsubscribe yourself whenever you want by clicking the link at the bottom of each newsletter or by sending an email to privacy@khn.nl.

Contacting us

Your data will be collected if you contact KHN through the website. However, this form only asks for the information necessary to provide an offer or service, such as your name, company name, email address, phone number and project/product description.

Prospects, stakeholders, lobby contacts and/or interested parties

If you are a prospect, stakeholder, lobby contact or interested party, KHN may collect your details to provide you with information or news. To do this, we use your (first) name, possibly your telephone number and e-mail address. We do this on the basis of your (verbal) permission, submission of your business card and/or linking through LinkedIn, for example.

Online domain KHN/Analytics (khn.nl/mijn.khn.nl)

The KHN website and app collects your details to improve the KHN websites. This information is anonymous and therefore not linked to your personal details. Think of information such as the duration of your website visit or the pages you visit a lot. For this so-called derived data, we have a cookie policy. We also process data you have submitted yourself when creating or maintaining a digital user profile, your social media profile and subjects and areas of interest. You can manage this data yourself in your account. This also applies to forms that you fill in and send to KHN, which KHN uses to contact you at your request or to give you personal advice or to make an offer.

Any information is only processed with your explicit permission, or in order to execute the contracts entered into, or because processing is necessary ort his you into contact with potential clients and/or contractors.

We sell available advertising space to advertisers. Personalised advertisements from these advertisers are displayed on our site(s). Through social media channels, we use “custom audiences”. Personalised ads can be shown on these platforms. We do not provide personal data to third parties for this purpose.

Provision to third parties

We may provide the information you provide to us to third parties if necessary for carrying out the purposes described above. We do not pass on personal details to other parties with whom we have not signed a processing agreement. We make the necessary agreements with these parties (processors) to ensure the security of your personal details. Furthermore, we will not provide the data you provide to other parties, unless required and permitted by law. However, we may share personal details with third parties if you give us written permission to do so.

Within the EU

KHN does not provide personal details to parties located outside the EU.

Storage period

KHN will store your details for a longer period of time, but never longer than necessary for carrying out activities, unless we are required by law to keep your details longer. We keep our financial records for a maximum of 7 years.

Security

Your details are only managed in systems and software. The devices that access your details are each self-locked with a username, password and/or fingerprint. The number of devices that can access your data is limited to only those required. In addition, your visit to our website is secured by an SSL certificate. This means that your connection to the KHN website is private. You will recognize this security by the lock in front of the URL. All persons who, on behalf of KHN, have access to your personal details, are bound to secrecy. Where necessary, personal details are pseudonymized or we ensure encryption. We make backups so that we can ensure recovery in case of technical incidents. We regularly evaluate our security measures. And, of course, our employees are informed about the importance of personal data protection.

Your rights

Right of inspection
You have the right to retrieve your details recorded and stored by KHN at any time. You can do this by sending an e-mail to privacy@khn.nl. You will then receive an overview of your data.

Right of rectification
Are your details incorrect? Or have your details changed? You have the right to have this rectified by KHN. You can have your details amended by sending an email to leden@khn.nl.

Right to transfer
Should you need the details stored by KHN in case you switch to another party or service, you have the right to transfer. This requires KHN to transfer all your details to the other party.

Right to erase data
Do you no longer want your details recorded by KHN? Then you have the right to have your details erased.

Right to file a complaint
You have the right to file a complaint with the Personal Data Authority if you feel that KHN is not handling your data properly.

Right to stop use of data (objection)
Do you not want KHN to use your details? Then you have the right to stop the use of your personal data. You can exercise this right and the other rights mentioned above by sending a copy of your ID card to privacy@khn.nl, in which the passport photo, the numbers at the bottom of the passport, ID card number and BSN have been made unreadable. We aim to respond to your objection within one week.

Our obligations
KHN processes personal data on the basis of a legitimate interest, namely collective advocacy and a commercial interest. This includes offering services or products of KHN by email. Your details will never be sold to third parties. The details that are mandatory to supply are the minimum details required to offer the services or products. If this mandatory data is not provided, KHN cannot offer the service in question.

Should it be necessary to share data that you have shared with KHN with parties other than those listed above (for example, to offer a service), your permission will first be requested.
